Why this matters for South African bids

A tender can be lost before anyone looks at your price. A missing SBD form, an expired tax compliance pin, a B-BBEE affidavit that was not attached, a compulsory briefing nobody knew about: any one of them can put a bid out on a technicality, whatever the number on the last page.

The bid pack says all of it, somewhere. It is just spread across a specification, a set of standard bidding documents and a list of returnable schedules, often as a scan, and often running to sixty pages or more. Reading it properly is the work, and it is the part a small business with no bid office rarely has time for.

That is the part being automated. The analysis pulls out what the documents say about eligibility, forms, dates, scoring and submission, quotes the wording so you can check it, and tells you plainly which documents it could not open. What it does not do is decide anything for you.

It does not write your bid. It does not set your price. It does not decide whether you can do the work, and it will not tell you whether you qualify, because it has not been told anything about your business. It reads long documents carefully and lays out what is in them, and like any careful reader it can misread something.

  • PDFs only. Spreadsheets, word processor files and zip archives are skipped. Every skipped file is named in the analysis, so you always know what it did not see.
  • Up to 4 documents per tender. Some tenders attach dozens of files. We read the ones most likely to carry the requirements, and we tell you which ones those were.
  • It can be wrong. It can miss a clause, misread a scanned page or misjudge a deadline. Anything it is unsure about is listed for you to confirm, with a note on how to confirm it.
  • The official documents are the final word. Check every requirement, form and date against the tender documents, and confirm anything that matters with the buyer, before you bid. If the analysis and the document disagree, go with the document.
