CSD registration explained

The registration every government supplier needs, what it pulls from other systems, and why it stalls.

The Central Supplier Database is National Treasury's single register of suppliers to the state. Registration is free, done online, and produces a supplier number you quote on every bid. Without it you cannot be awarded government work, and buyers verify your status at evaluation rather than at submission.

This covers what you need before you start, the step that trips most people up, and what to do when the registration will not complete.

What CSD registration actually is

CSD replaced the separate supplier databases that every department and municipality used to keep. One registration now covers organs of state generally, which is the main reason it is worth getting right once rather than repeatedly.

It is a verification service as much as a register. Rather than trusting what you type, it pulls your details from other government systems and checks they agree.

What it verifies against

This is the part that decides whether your registration completes cleanly, and it is why the process feels opaque when something is wrong: the error is usually in another system, not in the form.

  • CIPC, for your company registration, directors and business status
  • SARS, for your tax number and tax compliance status
  • Your bank, for account ownership verification
  • Home Affairs, for director identity numbers

Why registrations stall

Almost every stalled registration is a mismatch between those sources. A director who resigned but was never updated at CIPC, a bank account in a trading name rather than the registered name, or a company address that differs between CIPC and the bank will all hold it up.

Fix the source record rather than trying to work around the database. Changing the CSD entry to match a stale CIPC record does not help, because CSD re-reads CIPC.

Keeping it current

Registration is not once-and-done. Your details need reviewing periodically, and your tax compliance status is checked live at evaluation. A return that falls due between submission and evaluation can move you from compliant to non-compliant while your bid sits in the queue, which is one of the most common ways a good bid is set aside.

Diarise your tax deadlines against your open bids, not just against SARS. That is the calendar that actually matters.

Common questions

Does CSD registration cost anything?
No. Registration on the Central Supplier Database is free and done online. Be wary of anyone charging a fee to register you, since nothing in the process requires an intermediary.
Can a sole proprietor register on CSD?
Yes. Sole proprietors can register and bid. A registered company is often smoother in practice because banking, tax and B-BBEE evidence line up more cleanly, and some tenders ask for a company registration number on the returnables.
How long does CSD registration take?
It can complete in a day when your CIPC, SARS and banking records already agree with each other. Where they do not, it takes as long as fixing the underlying record, which is usually the real delay.
