Almost every tender asks for the same core evidence. Assembling it once, keeping it current and knowing each item's expiry date is the single highest-return hour in public bidding.
This is the pack, and how to keep it usable.
The core pack
These appear in nearly every submission regardless of sector.
- CIPC registration documents and a current director list
- CSD registration summary showing your supplier number
- SARS tax compliance status PIN
- B-BBEE certificate or sworn affidavit
- Certified ID copies for all directors
- A bank confirmation letter
- Company profile, reference letters and CVs for key personnel
- Proof of relevant insurance
Sector additions
On top of the core pack, add whichever gate applies to your work: CIDB registration for construction, PSIRA for security, a municipal certificate of acceptability for food, operating licences and PrDPs for transport, professional registrations for consulting.
Track the expiry dates, not just the documents
Every one of these expires, and compliance is verified at evaluation rather than submission. A document that lapses while your bid sits in the queue can cost you an award you had already won.
Keep a single list of expiry dates and review it before each submission.
Build the submission backwards
Make an index from the tender's returnable schedule list before writing anything, with one line per required item and a tick box. Complete the index, assemble the document to match, then check it once more against the conditions of tender.
Common questions
- Do I need certified copies for every document?
- The tender document says which items must be certified, most commonly director identity documents. Certification usually has a validity period, so check that your copies are recent enough.
- What is a returnable schedule?
- A form bound into the tender pack that you must complete and hand back, as opposed to sections that are for information only. Leaving one blank is normally treated as a non-response and can eliminate the bid.
